Palladium’s Invitation to Tender – Provision of Air Ticket Ticket Services

1. Background

2. Objectives of the assignment
Palladium operates in Kenya implementing several donor funded projects and seeks air ticketing travel
services to assist travel for staff, consultants, and other stakeholders. Applicants must have at least five years experience servicing large clients and IATA certified.

3. Scope of the assignment
– The air ticketing provider should provide the following:
– Reservations and ticketing for staff, consultants, and other stakeholders.
– Service Center in a secure location, staffed with a minimum of 10 persons and provides 24 hour service via email and telephone.
– Dedicated staff person and their alternate to manage Palladium account.
– Access to All Airlines operating in different regions
– Provide dummy hotel and airline itineraries for visa applications.
– Provide a minimum of three different possible flight options unless alternatives are not available.
– Notifications to traveler and Palladium travel coordinator when a booked flight is delayed, cancelled, or
other pertinent changes to the flight.

4. Duration and phasing
The contract agreement will be established for a period of 2 year, to commence from May 1, 2022 and end on April 30, 2024.

Please refer to Part 5 for details relating to preparation of the financial submission.

6. Responsibilities of the Company N/A

7. Contractor responsibilities

  • To be prepared to sign the Standard Contract Terms.
  • To have in place insurance policies covering Professional Indemnity and Public Liability.
  • To have any relevant registrations (including tax registrations) in the activity Jurisdiction.
