About the position
The PLANS-Analyst will provide financial support to the projects that are being developed by the Alliance Research Areas and Programs, with special focus on the initial phase of the project proposal and opening stage of agreements. This involves a budgetary analysis on proposals and, financial support as project activities are being carried out (coordinating opening of a BUS’s, coordinating uploading budgetary information and necessary adjustments, confirming funds availability for the projects staff contracts and for signing of partner agreements, consultancy among other tasks). Prepare financial reports for projects and handle projects information requirements from donors.

Responsibilities
Project Proposal Process

  • Comply with institutional, team and project processes and identify innovative ways for improving efficiency of
    Proposal process.
  • Contribute to proposal management harmonization initiative, including supporting creation of content library, to ensure high quality of information and improve response time for Business Development opportunities and proposal response
  • Coordinate proposal development calendar with Partnership team
  • Support PIs in proposal preparation ensuring internal and external compliance:
  1. Scheduling and facilitating proposal meetings for a proposal team, including kick-offs, reviews, and debriefs.
  2. Creating and reviewing a proposal template.
  3. Analyze the call information to support financial proposal preparation
  4. Collect data and documentation to support the budget preparation
  5. Reviewing and approval of the partners information, ensuring the alignment between the donor financial conditions with the Alliance policies
  6. Maintain established electronic proposal file access and tracking protocols for ensuring the security and integrity of all proposal documentation
  7. Prepare detailed budget upload in the Enterprise Resource Planning (ERP)
  8. Update Master file tab with relevant information

Grants opening and Data Management

  • Coordinate the grant opening and data management in our Enterprise Resource Planning (ERP) system:
  1. Prepare the grant opening template for the Enterprise Resource Planning (ERP)
    system opening process
  2. Prepare budget uploads in a timely manner to ensure budgets in the Enterprise
    Resource Planning (ERP)system are up to date
  • Assist in the review and analysis of budgets
  • Contribute to the optimization of the different processes in the PLANS unit
  • Support the PLANS Office with financial management of grants assigned to other staff
  • Other tasks as required from the PLANS unit

Requirements

  • University degree in Business Administration, Finance, Accounting, or related fields
  • Accounting/project management certification desired
  • At least three (3) years of relevant work experience in a closely related field gained in an international organization including budgeting, accounting guidelines and financial management of projects
  • Strong knowledge of accounting and budgeting practices and procedures relevant to not-for profit organizations
  • Strong proficiency of the English language, both written and spoken

Terms of employment:
This is a nationally recruited position based in Nairobi, Kenya. The contract will be for two years period, subject to a probation period of three (3) months and is renewable depending on performance and availability of resources.
