JOB TITLE: Administration Officer/Logistics
LOCATION: Nairobi
Overall Job Function:
Reporting to the HR & Administration manager, the Logistics & Procurement Officer will ensure the acquisition, supply/delivery, storage and disposal of goods and services, and logistics operations at optimum cost-effective levels in an expeditious and efficient manner.
Key Responsibilities:
• Coordinating sourcing strategies and development of supply base, providing vendor listing for the supply of goods and services
• Constantly survey to broaden and ensure a vendor base that is reliable and competitive
• Manage logistics operations, including, vehicles, material and personnel and ensure efficient and timely delivery of service
• Oversee the renovation and repair works for facilities supported by ICAP to ensure best value for money and delivery of quality
• Ensure compliance of procurement activities with both ICAP and funder Standard operating Procedures
Required Qualifications:
• Bachelor’s Degree and a diploma in purchasing and supplies management
• 5 years’ experience in managing logistics and procurement.
• Knowledge of international funding agencies procurement procedures and familiarity with commodity management tracking systems will be an asset
• Good organization, interpersonal, negotiation and high level of computer skills, including excellent knowledge of Microsoft Office applications and ERP systems

JOB TITLE: Accountant
LOCATION: Nairobi
Overall Job Function
Under the supervision of the Finance & Administration Manager, the Accountant will assist with the day to day accounting and financial activities and offer support on implementation of organization’s accounting policies and procedures, posting of Data into QuickBooks and preparation of all payments.
Key Responsibilities:
Cash accounting & management
• Maintain and control petty cash.
• Validate invoices, code all expenses, prepare payments for suppliers and calculate any tax due to the Government.
• Calculate all monetary commitments monthly.
• Ensure that all cash expenditures are approved by the Finance Manager and/or the departmental head.
• Run day to day bank errands.
Financial reporting
• Photocopying and scanning all monthly FFR support documents for reporting to the donor.
• Properly and consistently file all financial reports and support documents.
• Ensure proper filing of all financial reports and support documentation for all cash and disbursements.
• Assist in posting QuickBooks transactions
Preparation of the Financial Statements and External audits

JOB TITLE: Driver (Two positions)
LOCATION: Nairobi
Overall Job Function
Under the supervision of the Logistics Officer, the driver will transport staff and supplies to different sites as assigned.
Key Responsibilities:
• Ensure cleanliness, safety and security of the vehicle at all times
• To document all vehicle movements and maintain up-to-date driver’s logbook
• To provide logistical support in dispatching of supplies to the facilities.
Required Qualifications:
• Minimum KCSE qualification
• Valid Kenyan driving license Class ‘BCE’ free of endorsement

JOB TITLE: Regional Projects Operations Coordinator
LOCATION: Nairobi
Overall Job Function
Reporting to the ICAP NY Project Officer and the ICAP Kenya Country Director, the Regional Project Operations Coordinator will support coordination, operations, and knowledge management for ICAP teams and their Ministry of Health partners in CQUIN countries, primarily in East Africa.
The Regional Project Operations Coordinator will work with ICAP teams in country offices and NY headquarters to provide project coordination support, including the development of work plans and budgets, documenting project activities, and supporting travel and meeting logistics and communication.
Key Responsibilities:
Project Coordination:
• Leading day-to-day CQUIN and EAIPC regional project coordination activities in East Africa
• Supporting the CQUIN and EAIPC project teams to conduct national and regional workshops/meetings, webinars and virtual communities of practice, south-to-south exchanges, and documentation of innovations
• Working with regional project team to develop and monitor work plans, reports, meeting/call notes, and budgets
• Supporting the CQUIN and EAIPC teams in the design, implementation, and evaluation of workshops and meetings, including development of panels, and presentations, preparing participants, collecting, and analyzing meeting evaluation data
• Collecting and disseminating best practices and guidance on DSD and IPC for network stakeholder reference
• Monitoring and documenting progress toward achievement of project goals and objectives for project reporting
• Assisting the regional clinical team to provide operations and coordination support on country engagement visits as needed
• Meeting with project stakeholders in-person and virtually, to support project objectives
• Completing any other tasks as assigned
Administrative and Logistics Support:
The Regional Operations Project Coordinator will support CQUIN and East Africa IPC events, including catalytic projects and research studies, by coordinating and tracking travel, vendors, and internal standard operating protocols (SOPs). S/he will be responsible for:
• Coordinating network member travel from East Africa for various project activities.
• Managing identification, hiring and monitoring of vendors to provide services to CQUIN and East Africa IPC meetings/workshops and other event services (both virtually and in-person).
• Supporting the development of event SOPs, and to distribute and track participant invitations and registration surveys, bursary information and distribution of meeting materials.
• Overseeing the tracking of receipts, invoices, and per diems for CQUIN and East Africa project activities and ensure that relevant information is documented, filed and catalogued appropriately.
• Liaising with regional ICAP country office staff to provide updates and support anticipated project activities, including network member travel and securing meeting and workshop venues.
Required Qualifications:
• Diploma in Project Management or Business Administration required
• Post graduate degree or certificate in public health, management sciences, or project management is an asset
• At least seven years of experience supporting public health project implementation is required
• Excellent organizational and administrative skills are required
• Proficiency with Microsoft Office programs such as Word, EXCEL and PowerPoint required
• Experience using Zoom and Air Table will be an asset
• Demonstrated experience in the planning and coordination of online events, webinars, or trainings strongly preferred
• Strong communication skills, including the ability to coordinate stakeholders throughout East Africa as required
• Fluency in English is required

Job Titles: Laboratory Program Officers (12 positions)

Overall job function

Reporting to the Clinical Services Advisor, the Laboratory Program Officer will provide technical support in the planning and implementation of laboratory services required for hospital-based sentinel surveillance system for AFIs
Key responsibilities:
• To assist with the planning and implementation of laboratory activities required for hospital-based sentinel surveillance system for AFIs, including baseline laboratory assessments and laboratory capacity development
• To provide technical assistance to facility-level laboratory personnel, including regular and systematic observation of laboratory testing procedures, and ongoing bench-level supportive supervision and instruction
• To provide technical assistance to facility-level laboratory managers, including: establishing routine workflow; developing/refining SOPs, job aids, log books, and referral forms as needed; planning of laboratory activities to improve test performance and decrease turnaround time; and developing and implementing an equipment maintenance program
• To help implement and monitor efficient documentation of laboratory results at site level , as well as effective linkages between laboratory and clinical services
• To supervise laboratory reagent and consumable purchase and distribution
• To supervise equipment purchase, installation, and maintenance
• To provide technical assistance in the laboratory
• To supervise the laboratory network transports samples to district hospitals
• To develop SOPs for major equipment and procedures or assays

Job Title: Data Manager
Location: Nairobi
Overall function
Under the supervision of the M&E Advisor, the Data Manager will be responsible for the on-going data analysis, audit of program data, and feedback of this data to program staff.
Key responsibilities:
• Provide continuous on-going audit of program data based on established PEPFAR targets
• Provide continuous feedback on quarterly aggregate and patient-level data for quality of care improvement to the program implementation team
• Perform data analysis to check the quality of data quality from routine quarterly reports
• Prepare regular high quality presentations of summarized program data for program staff and funding agency
• Routine analysis of program data in preparation for data summaries for research abstracts and manuscripts
Requirements:
• Kenyan national with an Advanced Statistics Degree (minimum Masters) in Statistics, Mathematics or Epidemiology.
• At least 5 years experience in medical statistical analysis, monitoring and evaluation systems in HIV programs
• Strong data management and data analysis skills essential

Job Title: Systems Programmer
Location: Nairobi
Overall Job Function:
Working under the overall guidance of the M&E Advisor, the Systems Programmer will report to the Senior Data Manager to provide technical support in system development, setup, testing, implementation, maintenance of a robust interoperable system for hospital-based sentinel surveillance system for AFIs
Key Responsibilities:
• Support software design, development, implementation & maintenance using cut edge technologies
• Support SQL Database Administration (MySQL, SQL Server)
• Testing and modifying systems to ensure that they operate reliably
• Development of user friendly Electronic MoH reporting modules in OpenMRS
• Development of user friendly clinical reports (defaulter list, client treatment failure list, client VL alerts etc) in OpenMRS to enhance patient management
• Develop an Interoperability OpenMRS module with capability to communicate with the other EMR system in the referral hospital
• Develop a system manuals and SOPs for end users
• Interact with internal and external stakeholders to analyze and document system requirements
• Work with relevant EMR stakeholders in eHealth project implementation and co-ordination at the county level
• Interact with internal and external users to analyze, document & responding to feedback system requirements
• Investigate, escalate and resolve EMR issues and provide first level support, troubleshooting and system testing

Technical Advisor Surveillance/IPC and AMR (1 Position)
Overall job function:
To provide overall technical advise in the planning and implementation of acute febrile illnesses (AFI) surveillance in multiple sentinel surveillance sites
Key responsibilities:
• Facilitate and offer technical support in planning and implementing of evaluation activities, including protocol design, implementation, data collection, data analysis and reporting writing.
• Prepare Standard Operating Procedures ( SOP’s) , train facility Health Care Workers and Implementation staff
• Complete and compile all necessary research documentation and information to gain appropriate regulatory and ethical approval.
• Ensure adherence to evaluation standards and ethical protocols.
• Oversee the work of surveillance officers, laboratory technologists and health facility recorders working at surveillance sites
• Onboarding of new AFI sentinel surveillance sites
• Conduct scheduled supervisory visits to each site to assess surveillance procedures
• Take an active role in motivating and improving surveillance team’s performance
• Maintain regular communication with site leads
• Receive and act on feedback from site leads
• Provide regular updates to the PI and other surveillance investigators
• Coordinate the specimen shipping from the study sites to the KEMRI CGHR laboratory in Nairobi

To monitor patient’s condition for AFI among persons seeking care at the hospital. The health facility nurse reports to the surveillance officer.
Responsibilities
• Monitor patient’s condition and assess their needs to provide the best possible care and advice
• Observe and interpret patient’s symptoms and communicate them to physicians
• Collaborate with physicians and nurses to devise individualized care plans for patients
• Perform routine procedures (blood pressure measurements, administering injections etc.) and fill in patients’ charts
• Adjust and administer patient’s medication and provide treatments according to physician’s orders
• Inspect the facilities and act to maintain excellent hygiene and safety (decontaminating equipment, sanitizing surfaces, preparing beds etc.)

Collects edits, processes, and coordinates research data in support acute febrile illnesses (AFI) surveillance in multiple sentinel surveillance sites
Duties and Responsibilities
• Travels to field sites to collect and record data and/or samples as appropriate to the specific objectives of the study.
• As appropriate to the specified position, codes and verifies data in accordance with specified research protocol and coding procedures, and enters data into a computer database and/or spreadsheet application for subsequent analysis.
• Develops or assists in the development of interview schedules; contacts potential subjects to introduce and explain study objectives and protocol, and to arrange interviews, either in person or by telephone.
