Grants & Compliance Assistant Required

Planned Parenthood Global, Africa Regional Office in Nairobi seeks a competent and dedicated Grants & Compliance Assistant. This job reports to the (Associate Director, Grants & Compliance) in the Global Division of the Africa Regional Office of PP Global. The Planned Parenthood Global Africa Regional Office provides technical, programmatic and financial support to local NGOs
Purpose:
The Grants & Compliance (G&C) Assistant is responsible for supporting grants/contracts’ related activities for the PP Global Grants & Compliance team. The G&C Assistant will support preparing, reviewing of, communications on, and other related functions, as requested for successful execution of PP Global programmatic activities.
Delivery:
Duties and Responsibilities:
- Support Grants managers with preparing and submitting grants/contracts’ related documentation via Fluxx/DocuSign for parties’ signatures and saving documents in Fluxx system
- Ensure all related grants/contracts documentation is up to date and available in the Fluxx system, including grants close-out financial reports and formal letters
- Support Grants managers with preparing payments/disbursements requests and coordinating with Finance team on the timely submission
- Assist with review/processing of payment documentation for any awards as necessary, including sharing formal wire confirmations to partner and saving the same in Fluxx for records keeping
- Develop and keep track of pending financial and related reports from each award and inform G&C team accordingly on any action required.
- Assist G&C team with obtaining relevant sub-grantee’s information for accurate preparation and reporting through donor-mandated reports.
- Act as a focal point for the Fluxx system and any related queries (i.e. user creation/deactivation)
- Support G&C team with coordination of partners’ timely submission on awards’ approved milestones and deliverables.
- Contribute to project work plans, budgets, and annual/quarterly reporting, as assigned by the Associate Director, G&C.
- As part of the team, work on providing support with updates of policies, procedures and related training initiatives
- Perform other duties as assigned.
Engagement:
The Grants & Compliance Assistant regularly works with Grants and Compliance Managers, and staff from other departments and divisions to integrate work activities and products to ensure assigned departmental/divisional goals are met
Knowledge, Skills and Abilities (KSAs):
Basic knowledge of grants management life cycle and/or experience of working in the non-profit sector. Experience in data entry & management; Familiarity with Fluxx or related grants management platforms. Knowledge of Google suite platform. Should have a first degree in project management, Business or related field from a recognized university with five years of work experience.
TRAVEL : (minimal/no travel expected as position is expected to support G&C team’s work across regions virtually)
