Position: Pharmaceutical Technologist In-Charge

Position:
Reporting to the Head of Clinical Services, the Pharmaceutical Technologist in-Charge will be responsible to ensure effective implementation of protocols, standards, procedures, rules and regulations that are consistent with pharmacy and clinical services and also ensure adherence to Standard Operating Procedures (SOPs) for pharmaceutical services and compliance with established policies, procedures, rules and regulations. This is a senior level responsibility and will entail strategic thinking and implementation of all set stock control procedures to ensure accountability and ensure that established procedures are adhered to in order to maintain quality
assurance in delivery of clinical services.
Key Responsibilities
General Management

  • Ensure effective implementation of protocols, standards, procedures, rules, and regulations that are consistent with pharmacy and clinical services.
  • Ensure adherence to Standard Operating Procedures (SOPs) for pharmaceutical services and compliance with established policies, procedures, rules, and regulations.
  • Supervise and train staff in the Pharmaceutical Unit.
  • Ensure that high standards of hygiene and general cleanliness are maintained in the pharmacy.
  • Ensure all dispensed medication is correctly billed to capture revenue.
  • Develop systems and standards for the physical inventory and monthly reporting.
  • Ensure that pharmacy equipment is kept in good working condition.

Management of Pharmaceutical Stock

  • Ensure that drugs are ordered and delivered on time and maintain pharmacy inventory by checking pharmaceutical stock to determine inventory level; anticipating needed medications and supplies; placing and expediting orders; verifying receipt; removing outdated drugs.
  • Ensure that established safe storage procedures for drugs are followed and secure stocks to minimize loss and damage.
  • Maintain stock control procedures for the pharmacy to ensure accountability
  • Compile and analyze consumption data to identify patterns of drug usage on a monthly basis to verify drug stock versus usage.
  • Work with Head Clinician to determine drug needs on a regular basis and monitor stock levels of essential drugs, and manage/rotate stock to minimize expiry.
  • Update the formulary of drugs and supplies in collaboration with clinical staff and Ministry protocols to meet hospital needs.
  • Pre-pack medicines where possible, removing the medicine from its bulk packaging and repackaging it for distribution. Ensure that there is adequate stock in dispensing room for providers who are covering on nights and weekends.
  • Prepare purchase orders for the procurement of necessary medications, equipment, and supplies from vendors and suppliers.
  • Track order progress through payment, shipping, and reconciliation.
  • Prevent stock-outs by monitoring stocks and reordering with ample lead-time for delivery. Carry out Local Purchase Orders (LPOs) as necessary for emergency medications.
  • Prepare and compile reports as required by government agencies, LCA, donors and any other authorities as per schedules.

Quality Control and Assurance

  • Ensure that established procedures are adhered to in order to maintain quality assurance in delivery of clinical services.
  • Maintain quality standards established for health service delivery by the facility.
  • Ensure adherence to regulations for clinics established by Health Authorities.
  • Ensure timely reporting to the supervisor on matters that need attention/information.
  • Promote initiatives that support delivery of high-quality Clinical care services and ensure that the hospital maintains effective client service.

Requirements
a. Academic Qualifications

  • Diploma in Pharmaceutical Technology from a recognized institution.

b. Specialized Training/Professional Qualifications

  • Must be a registered member of the Pharmaceutical Association of Kenya
  • Must be licensed by the Kenya Drugs and Poisons Board

c. Competencies/Abilities/Skills Required

  • Ability to multitask in any given situation and adaptability to changing situations.
  • Ability to pay attention to detail and report accurately.
  • Demonstrable leadership and team management skills
  • Excellent spoken and written English and Kiswahili
  • Current knowledge of best practices in HIV management.
  • Must have love for the community and a heart to serve the people

d. Relevant Work Experience

  • At least four (4) years relevant work experience, preferably in a large facility.
  • Experience working with the Ministry of Health facilities
