Job Title: Finance Assistant – FCA

Finn Church Aid is a right-based organization with 70 years of experience and operations in 12 countries. FCA is Finland’s largest NGO working in development cooperation and second largest provider of disaster relief. We work in development, humanitarian assistance and advocacy, guided by international human rights standards and principles. We contribute to positive change by supporting people in the most vulnerable situations within fragile and disaster-affected areas. We consider three thematic areas as central to sustainable change: the right to peace (R2P), livelihood (R2L) and quality education (R2QE).

In Kenya, FCA has been working since 2014 in all three thematic areas, supporting local communities and governments to resolve and prevent conflicts in five counties of northern Kenya; providing access to primary education in Turkana, Garissa, Marsabit, West Pokot and Samburu, Kenya’s poorest counties; and improving access to quality education for children, youth and their families with holistic support mechanisms. FCA also provides emergency cash assistance to drought-affected families in Garissa.

Duty Station: Kakuma/Kalobeyei

Primary purpose of the position:

The Finance Assistant will facilitate efficient and effective financial operation in the FCA field office. Ensure compliance with FCA financial standard operating procedures and regulations alongside donor policies, procedures, guidelines and rules.

Duties and responsibilities

Main tasks

  • Overall quality control of FCA’s finance management
  • Petty cash recording and management
  • Recording financial transactions in UNIT 4
  • Filing of finance documents
  • Record accounts payable and accounts receivable
  • Collecting and reviewing data for reports.
  • Processing invoices, issuing cheques, and updating the organization’s financial records.

Special tasks

  • In accordance with FCA & donor policies and guidelines to assist in managing finances in the field Office.
  • Assist in making all payments, process approved payments of supplier / service provider invoices on the basis of complete documentation for bank and cash.
  • Be responsible for all field cash transactions, physically makes payments in the field /or follow up closely on proper accountabilities for all field cash expenditures.
  • Accurately prepare the necessary documents, compile source documents and submit complete documentation daily for postings of all the paid transactions in the cash book.
  • Ensure that all advances are appropriately accounted for within reasonable time and that any travel advances are made in line with the FCA financial regulations.
  • Undertake financial monitoring visits to the field to help ensure quality is maintained in all aspects of financial management.
  • Responsible for banking activities.
  • Ensure the safeguarding of all available funds under her control
  • Maintain financial files (physical and soft copies) and records
  • Take part in procurement of goods/services and ensure adherence to FCA/Donor Regulations.
  • Other tasks may be given by the supervisor related to the position upon mutual consultation.

Competence, experience, skills, knowledge needed

  • University degree or equivalent in accounting, finance, Business Administration or other closely related field .
  • Accountancy and Administration skills.
  • Strong analytical and Computer skills.
  • Ability to work effectively and harmoniously in a team with varied cultures and professional backgrounds with minimal supervision.
  • Good communication and interpersonal skills.
  • Knowledge of English as a working language.
  • UNIT 4 Knowledge.
  • Minimum 2-4 years of experience in a similar position.
  • Knowledge of working in challenging environments.
